Best property maintenance software (UK)

Quick answer

For small UK property maintenance firms (1 to 10 people), Tradify is our pick: £34 to £44 per user, with EICR and gas certificates from the Pro plan. ServiceM8 suits bigger teams on a budget (free, then £25 to £269 a month). Planned maintenance contractors should look at Joblogic (from £45 per user, annual), and large fleets at BigChange.

Property maintenance firms juggle reactive repairs for letting agents, planned maintenance, landlord certificates and a mix of trades on the same day. We compared the UK options for that work, from two-person handyman teams to multi-site contractors, using pricing pages checked on 12 October 2026 and published user reviews.

What does a property maintenance firm need from software?

Generic job software handles quotes and invoices. Property maintenance needs more, because your customers are often landlords, letting agents and facilities managers, not homeowners.

Reactive repairs for agents and landlords

A letting agent emails a leaking tap at 4pm. You need to log it, assign the right person, get access arranged with the tenant, attach photos, and invoice the agent (not the tenant) against the right property. Look for jobs linked to a site address and a separate billing customer, plus photo capture on the mobile app.

Planned preventive maintenance (PPM)

Annual gas checks, boiler services, gutter clears and fire alarm tests are repeat work. Good software creates the next visit automatically and reminds the customer. On bigger contracts, you also need an asset register so each boiler or alarm panel has its own history.

Landlord compliance certificates

Landlords need a gas safety record every year (HSE) and an electrical inspection at least every 5 years in England's private and social rented sectors (GOV.UK). If your engineers do these, issuing the certificate on site saves hours. See our guides to the landlord gas safety certificate and to the EICR for the rules.

Landlord compliance deadlines your software should track (HSE and GOV.UK, England)
CertificateHow oftenCopy to tenantsOther deadlines
Gas safety record (CP12)Every 12 months; up to 2 months early keeps the due dateWithin 28 days of the check; new tenants before moving inKeep records for at least 2 years
Electrical inspection (EICR)At least every 5 yearsWithin 28 days; new tenants before moving inRemedial work within 28 days (or sooner if the report says); give the council a copy within 7 days of a request

For a firm looking after 300 rented homes, that is about 300 gas checks a year plus around 60 EICRs (300 divided by 5), each with a 28-day clock for the tenant's copy. Software that schedules the next visit and emails the certificate automatically pays for itself on this work alone.

Multi-trade teams and subcontractors

Plumbers, electricians, joiners and handymen on one schedule, often with subcontractors filling gaps. You want a drag-and-drop calendar, skills per worker, and subcontractor access without paying a full licence for every one.

A portal for clients

Agents with dozens of properties want to log jobs and see progress themselves. A customer portal cuts the "any update?" emails.

How to read this: the first three columns decide cost, but the certificates and portal columns decide fit. If your engineers issue CP12s and EICRs, rule out tools without named UK certificates or budget for a separate certificate app. If letting agents send you most of your work, put a portal and planned maintenance at the top of your list, even if it means a longer contract.

Our top picks for property maintenance

Best overall for small teams (1 to 10)

Tradify

From £34 per user per month

Tradify lists property maintenance among its core trades, and it is the simplest way to run reactive jobs and landlord certificates in one app. EICRs and gas safety records come with the Pro plan (£37), along with recurring jobs, timesheets and subcontractor scheduling. Trustpilot rates it 4.8 from 610 reviews (checked 12 Oct 2026).

  • UK EICR and gas certificates from Pro
  • Xero, Sage and QuickBooks on every plan
  • London office and month-to-month billing
  • Per-user pricing adds up past 10 people
  • No customer portal found for agents
  • Purchase orders and service reminders only on Plus (£44)

Best value for bigger teams

ServiceM8

Free, then from £25 per month

ServiceM8 charges by jobs, not people, so a 6-person maintenance team doing 150 jobs a month pays £59 in total on the Growing plan. It has asset management and a recurring jobs add-on. The catch for compliance work: its certificates are generic PDF forms, and we found no named UK EICR or CP12. Trustpilot: 4.1 from 118 reviews (checked 12 Oct 2026).

  • Unlimited users on paid plans
  • Free plan for 30 jobs a month
  • Asset management
  • No named UK certificates
  • Costs rise fast with lots of small jobs
  • No Sage link

Best for planned maintenance and compliance contractors

Joblogic

From £45 per user per month, billed annually

Joblogic is built for contractors with maintenance contracts: PPM scheduling, asset registers, customer and subcontractor portals, stock and purchase orders, and gas certificates. It claims more than 7,000 UK businesses. Trustpilot rates it 4.5 from 370 reviews, but the iPhone app scored 1.8 from 201 ratings (both checked 12 Oct 2026), so test the engineer app before you sign.

  • Strong PPM and asset tools
  • Customer and subcontractor portals
  • Wide accounting links including Sage and FreeAgent
  • Most customers sign 24 or 36 month contracts
  • Low App Store rating for the iPhone app
  • Premium and Enterprise prices on request

Best for large fleets and FM contractors

BigChange

Quote only

Leeds-based BigChange targets facilities management, drainage, fire and security and other field firms, with strong vehicle tracking. It has been part of Simpro Group since 25 October 2024 and claims 2,200+ field service businesses. Capterra UK rates it 4.5 from 270 reviews, while Trustpilot shows 3.4 from 147 (both checked 12 Oct 2026). Capterra UK still lists old per-vehicle prices, which we treat as indicative only.

  • Built for FM and multi-trade fleets
  • Fleet tracking built in
  • UK headquarters
  • No published prices
  • Mixed Trustpilot reviews
  • Overkill for small teams

Worth a look: mid-size teams wanting a client portal

WorkPal and eWorks Manager

WorkPal £45 per user (4 minimum); eWorks from £130 a month ex VAT

Both are UK firms that list property maintenance or facilities work and include a client portal and asset tools. WorkPal (Belfast) needs at least 4 licences, so the minimum is £180 a month. eWorks Manager charges one fee per team, from £130 ex VAT for 1 to 5 users. Capterra UK rates WorkPal 4.7 from 64 reviews and eWorks 4.8 from 21, but eWorks scores 2.5 from 19 on Trustpilot (checked 12 Oct 2026). See the WorkPal pricing page and the eWorks Manager pricing page.

Also consider Powered Now if you want certificates plus Making Tax Digital on a budget (£32 per user ex VAT on Professional), and Commusoft or Simpro if heating or multi-trade contracting is your core work. For the wider market, see our field service management software guide.

What does property maintenance software cost?

Two examples, using list prices checked on 12 October 2026. VAT is excluded where the vendor says so.

Monthly cost for a sole trader and a 5-person team. Prices checked 12 Oct 2026
SoftwareSole trader5-person team
Tradify Pro (certificates)£375 x £37 = £185
ServiceM8Starter £25 (50 jobs)Growing £59 (150 jobs) or Premium £119 (500 jobs)
Powered Now Professional (certificates)£32 ex VAT5 x £32 = £160 ex VAT
Joblogic Standard (annual)£455 x £45 = £225
WorkPalNot available (4 licence minimum, £180)5 x £45 = £225
eWorks Manager Standard£130 ex VAT£130 ex VAT (1 to 5 users)

Worked example: a 5-person firm doing about 120 reactive jobs a month for three letting agents, plus 200 annual gas checks. If its engineers issue CP12s, Tradify Pro at £185 a month (£2,220 a year) covers jobs and certificates in one app. ServiceM8 Growing at £59 is cheaper on paper, but the team would still need a separate gas certificate app. Add Gas Engineer Software's Pro plan at £30 per user for 2 gas engineers (£60) and ServiceM8 comes to £119 a month, still cheaper, but with two systems to run. If the agents insist on a portal and the firm has PPM contracts, Joblogic at £225 a month (on a 24 to 36 month contract) or WorkPal at £225 earns its place.

Which features matter most, and which can you skip?

Must have

  • Separate site address and billing customer (agent or landlord)
  • Photos and notes on the mobile app, before and after
  • Recurring jobs for annual and planned work
  • Certificates if your engineers issue CP12s or EICRs
  • Accounting sync with Xero, QuickBooks or Sage

Can skip (for small firms)

  • Full CAFM systems built for in-house FM teams
  • Stock control across multiple warehouses
  • Vehicle tracking hardware, unless you run a fleet
  • AI features: useful, but not why you buy

Questions to ask in every demo

  • Can one letting agent be the billing customer for many properties, with each property keeping its own history?
  • Which UK certificates are built in, and on which plan?
  • How are recurring and planned visits created, and can the customer get an automatic reminder?
  • Does the engineer app work offline in basements and lofts?
  • What is the contract length, and what does it cost to leave?

What mistakes should you avoid when switching?

  1. Signing a long contract before testing the engineer app. The office demo looks great. The person using it in a loft matters more.
  2. Ignoring how agents send work. If your agents use their own portals, check how jobs get into your system without retyping.
  3. Not importing assets and due dates. Planned maintenance only works if every boiler and alarm panel has its next due date loaded on day one.
  4. Running two systems for too long. Set a cut-over date and stick to it.
  5. Paying per user for occasional subcontractors. Check how each tool prices subcontractor access before you add them.

Frequently asked questions

What is the best property maintenance software in the UK?

It depends on size. For a small multi-trade firm doing reactive repairs for landlords and agents, we rate Tradify best because it combines job management with UK EICR and gas certificates from £37 per user. Firms with planned maintenance contracts and assets should look at Joblogic. Large fleets with dozens of engineers should look at BigChange or Simpro.

What is facilities management software?

Facilities management (FM) software helps you look after buildings: logging reactive repairs, scheduling planned preventive maintenance (PPM), tracking assets such as boilers and fire alarms, and storing compliance certificates. Big in-house FM teams use CAFM (computer-aided facilities management) systems. Contractors serving FM clients usually use field service software such as Joblogic, BigChange or WorkPal.

How much does property maintenance software cost?

From the pricing pages we checked on 12 October 2026: Tradify is £34 to £44 per user a month, ServiceM8 is free for 30 jobs then £25 to £269 a month, Powered Now is £28 to £40 per user ex VAT, WorkPal is £45 per user with a 4-licence minimum, and Joblogic starts at £45 per user billed annually. BigChange and Simpro are quote only.

Can property maintenance software produce landlord certificates?

Some can. Tradify includes EICR and gas safety records from its Pro plan. Powered Now has nearly 100 trade forms, including gas and electrical certificates, on Professional and above. Joblogic includes CP12 and other gas forms. ServiceM8 offers generic PDF forms, and we found no named UK EICR or CP12 certificate.

Which software has a customer portal for letting agents?

Joblogic, WorkPal, eWorks Manager and Commusoft all list a customer or client portal, which lets agents and landlords log jobs and see progress. Powered Now includes a customer portal on its Premium plan at £40 per user ex VAT. We did not find a customer portal on Tradify's pricing page.

Is Joblogic good for small property maintenance firms?

Joblogic is strong on planned maintenance, assets and compliance, and it covers firms from single trades to multi-site. But most customers sign 24 or 36 month contracts, and its iPhone app was rated 1.8 from 201 ratings on the App Store when we checked. A small reactive repairs firm will usually find Tradify or ServiceM8 simpler.

What is planned preventive maintenance (PPM) software?

PPM software schedules repeat maintenance visits automatically, such as annual gas safety checks, five-yearly EICRs, or quarterly fire alarm tests, and tracks each asset's history. Joblogic, WorkPal, eWorks Manager and Commusoft all list planned or contract maintenance features. Smaller tools handle it through recurring jobs and service reminders.
