Best digital job sheet apps (UK)
Quick answer
For most UK trades, ServiceM8 is the best job sheet app to start with: free for 30 jobs a month, with photos, signatures and PDF forms. Choose Tradify Pro (£37 per user a month) if your job sheets include UK certificates, or Joblogic (from £45 per user, billed annually) for compliance-heavy maintenance work.

Paper job sheets get lost, smudged and typed up twice. We compared eight digital job sheet apps sold in the UK on what they capture, what they cost and whether they handle UK certificates, using pricing pages checked on 12 October 2026.
What should a digital job sheet capture?
Before comparing apps, decide what your job sheet must hold. Use this checklist: if an app cannot capture an item that matters to you, rule it out.
| Item | Why it matters | Must have? |
|---|---|---|
| Customer, site address and job reference | Links the sheet to the right job and invoice | Yes |
| Time on and off site (with GPS stamp) | Proves attendance and drives labour billing | Yes |
| Description of work done | Your record if the customer disputes the bill | Yes |
| Materials used | Stops parts going unbilled | Yes |
| Before and after photos | Evidence for disputes, guarantees and insurers | Yes |
| Customer signature and printed name | Confirms the work was accepted | Yes |
| Checklists and risk assessments | Health and safety records | Usually |
| Test results and certificates (EICR, CP12) | Legal records for electrical and gas work | If you do this work |
| Follow-up notes and recommended work | Turns today's job into the next quote | Recommended |
| Offline working | Lofts, basements and rural sites lose signal | Recommended |
How do the job sheet apps compare?
| App | Price | Job sheet features | UK certificates | Also does invoices |
|---|---|---|---|---|
| ServiceM8 | £0 (30 jobs), then £25 to £269 a month, unlimited users (VAT not stated) | PDF forms, reports, photos, signatures, time on site | Generic PDF forms | Yes |
| Tradify | £34, £37 or £44 per user a month (VAT not stated) | Custom-branded forms from Pro; job service reports on Plus | Yes, from Pro | Yes |
| Fergus | £39 or £45 a month list price (VAT not stated) | Job cards on both plans; checklists and forms on Pro | Stores EICR and gas safety certificates | Yes |
| Joblogic | From £45 per user a month, billed annually (VAT not stated) | Mobile job sheets, works offline, custom templates | Yes, including CP12 | Yes |
| Powered Now | £28 to £40 a month ex VAT | Custom forms on Professional; works offline | Yes, nearly 100 forms (Professional and up) | Yes |
| Gas Engineer Software | £18 to £30 per user a month ex VAT | Job sheets plus gas certificates, offline apps | Yes (gas, oil, heat pumps) | Not confirmed |
| Tooltime | £59 per office user plus £29 per field user a month (VAT not stated) | Mobile job sheets with photos and speech-to-text | Not found | Yes |
| GoCanvas | $29 to $49 per user a month, billed annually, 3-user minimum (USD only) | Unlimited forms and submissions | Build your own | No |
What would a 3 person team pay?
Per-user and per-job pricing give very different bills. For a 3 person team doing about 120 jobs a month, at list price:
| App and plan | Monthly cost | VAT |
|---|---|---|
| ServiceM8 Growing (150 jobs, unlimited users) | £59 | Not stated |
| Powered Now Professional (3 x £32) | £96 | Ex VAT |
| Gas Engineer Software Pro (3 x £30) | £90 | Ex VAT |
| Tradify Pro (3 x £37) | £111 | Not stated |
| Tooltime (1 office user at £59, 2 field users at £29) | £117 | Not stated |
| Joblogic Standard (3 x £45, billed annually) | £135 | Not stated |
| GoCanvas Essentials (3 x $29, 3-user minimum) | $87 (USD) | Not stated |
ServiceM8 is the lowest bill here for this team because users are unlimited. If your job count is high, that advantage shrinks: 500 jobs a month moves you to Premium at £119.
Which job management apps have the best job sheets?
For most trade businesses, the best job sheet app is a job management app. The job sheet then flows straight into the invoice with no retyping. Our full job management software comparison ranks 12 of them.
Best job sheet app to start with
ServiceM8
Free for 30 jobs a month; then from £25 a month
ServiceM8 centres on the job card. Engineers record time on site, photos and notes, collect a signature and produce PDF forms and reports on site. Paid plans include unlimited users, so every engineer and apprentice can have a login. The gap: its certificates are generic PDF forms, and we found no named UK EICR or CP12 template.
- Free plan to test with real jobs
- Unlimited users on paid plans
- UK App Store 4.5 from 1.2k ratings (checked 12 Oct 2026)
- No named UK certificates found
- Some features (drawing diagrams, editing PDFs from previews) are iPhone only
Best for job sheets with UK certificates
Tradify
From £37 per user per month for forms and certificates (Pro)
Tradify's Pro plan adds custom-branded forms and UK compliance certificates, including EICRs and gas safety records, so electricians and gas engineers can keep job sheet and certificate in one place. Plus (£44) adds job service reports. Lite (£34) does not include custom forms or certificates.
- UK certificates and custom forms in one app
- UK App Store 4.8 from 2.7k ratings (checked 12 Oct 2026)
- Per-user pricing
- Forms need Pro or above
Fergus
Fergus includes job cards on both plans and adds checklists, forms, hazards and safe work method statements (SWMS) on Pro (£45 a month list price). It suits firms that want job sheets tied to materials and job costing. See Fergus pricing.
Joblogic
Joblogic markets its job sheet app with "Paperless in 30 days" and offline working, plus a long list of gas forms (CP12, warning notices, commissioning records) and custom templates. It is best for maintenance and compliance contractors, from £45 per user a month billed annually, with contracts usually 24 or 36 months. Its iPhone app is rated 1.8 from 201 ratings on the UK App Store (checked 12 Oct 2026). For larger teams, see our field service management software guide.
Powered Now
Powered Now's Professional plan (£32 per user a month ex VAT) adds custom forms and nearly 100 trade certificates, and its apps work offline on iPhone, Android, Mac and Windows. A good fit if you also want Making Tax Digital built in.
When does a standalone form app (GoCanvas and others) make sense?
A standalone form app only turns paper into PDFs. It does not schedule jobs or raise invoices. It makes sense in three cases:
- You already have a job system you like, but its forms are weak.
- You need unusual forms (site surveys, inspections, audits) that trade apps do not offer.
- Your forms are mostly certificates, in which case a specialist certificate app is better than a general form builder.
GoCanvas offers unlimited forms and submissions on every plan: Essentials $29, Pro $39 and Max $49 per user per month, billed annually, with a 3-user minimum. Prices are in US dollars only, so a 3 person UK team pays at least $87 a month before VAT and currency conversion. See GoCanvas pricing.
Gas Engineer Software is a better fit for gas and heating engineers: job sheets plus CP12s, service records and heat pump certificates, from £18 a month (Starter, billed annually) up to £30 per user on Pro, ex VAT, with a 14-day trial.
Our view: for a UK trade firm, a job management app with good forms (ServiceM8, Tradify Pro, Powered Now Professional) beats a standalone form app almost every time, because the sheet feeds the invoice.
How do you move from paper to digital job sheets in 2 weeks?
Switches often go wrong when the app is launched on a busy Monday with no preparation. This plan fits inside a 14-day free trial:
Week 1: set up in the office
- Day 1: collect one of every paper form you use. Mark which fields you actually fill in. Drop the rest.
- Day 2: start the trial. Import your customer list (most apps accept a spreadsheet) and your price list or common materials.
- Day 3: build your job sheet template and any checklists. Add your logo. Keep it short: every extra field slows the engineer down.
- Day 4: set up the accounting link (Xero, Sage or QuickBooks) and send yourself a test invoice from a test job.
- Day 5: run three fake jobs end to end, including one completed offline, and check the PDF the customer would receive.
Week 2: go live with the team
- Day 8: a 30-minute session with each engineer on their own phone. Let them complete a fake job while you watch.
- Days 9 to 11: run digital and paper side by side for new jobs only. Fix any form fields that cause confusion the same day.
- Day 12: stop issuing paper sheets. Keep a small emergency pad in each van for the first month.
- Days 13 to 14: review: are photos and signatures arriving? Are invoices going out faster? Decide whether to subscribe before the trial ends.
Gas engineers: the HSE allows landlord gas safety records to be kept digitally, provided they can be printed, are held securely and identify the engineer who carried out the check. Make sure your app's certificate output meets all three.
Our verdict
Start with ServiceM8's free plan if you want to test digital job sheets at no cost. Choose Tradify Pro if your sheets include UK electrical or gas certificates. Pick Joblogic only if you are a maintenance or compliance contractor ready for a longer contract.
Frequently asked questions
What is a digital job sheet?
A digital job sheet is the electronic version of the paper job card an engineer fills in on site. It records the customer, address, work done, time on site, materials used, photos, any test results and the customer's signature, then sends a PDF copy to the office and the customer. In most apps it also becomes the basis of the invoice.
Is there a free job sheet app?
ServiceM8 has a free plan for one user and up to 30 jobs a month, which includes its job, photo and PDF form tools. Most other job sheet apps offer a free trial rather than a free plan, typically 14 days. Standalone form apps such as GoCanvas charge per user, with a 3-user minimum.
Can a job sheet app work without signal?
Several can. Joblogic, Powered Now and WorkPal all say their apps work offline, and Commusoft's engineer app is offline too. Test it during your trial by completing a job sheet in airplane mode, then reconnecting and checking that every photo and signature reached the office.
What should a trade job sheet include?
At minimum: the customer and site address, the job reference, date and time on and off site, the engineer's name, a description of the work, materials used, before and after photos, any test results or readings, notes for follow-up work, and the customer's signature with their printed name.
Are digital job sheets legally valid?
For ordinary work records, there is no single rule, and most customers accept a dated, signed digital record in place of paper. For landlord gas safety records, the HSE allows digital records if they can be printed, are held securely and identify the engineer who did the check. If in doubt for your trade, ask your scheme provider.
How long does it take to go paperless?
A small team can usually switch in about two weeks if the software is set up before the first live job. Joblogic markets a 'Paperless in 30 days' plan for larger firms. The slowest part is normally building your own custom forms and getting every engineer comfortable with the app.
