Best plumbing software for UK plumbers

Quick answer

For most UK plumbing firms of 1 to 10 people, Tradify is the best plumbing software: £34 to £44 per user per month, gas safety records from the Pro plan and Xero, Sage and QuickBooks on every plan. Pick Fergus if job costing and purchase orders matter most, and Commusoft once you have 6 or more staff.

What does a plumber need from software?

Plumbing work mixes two very different kinds of job, and good software has to handle both. There are short, urgent call-outs (a leak, a blocked toilet, no hot water) and long, materials-heavy jobs like a full bathroom install. Most plumbers also do some gas and heating work, which brings legal paperwork. Here is what matters, in order.

Fast call-out handling

A customer rings at 7am with water through the ceiling. You need to create the job on your phone in under a minute, slot it into the diary, and send a text to say you are on the way. Then you need to invoice on the doorstep and take a card payment before you leave. Every tool on this page does the basics, but some do it in fewer taps.

Quotes for bathroom installs

A bathroom quote can run to dozens of lines: suite, tiles, labour, waste removal, making good. You want saved price lists or "kits" (a bundle of items you can drop into a quote in one go), the option to send a quote the customer can accept online, and progress invoices (a deposit, a stage payment, then the final bill). Tradify includes online quote acceptance and progress invoicing from its Pro plan.

Materials and merchant invoices

This is where plumbers lose money without noticing. You pick up fittings from the merchant, the invoice arrives a week later, and nobody checks it against the job. Software that tracks materials costs against each job shows you which jobs actually made a profit. Fergus is strongest here, with job costing on both plans and automatic supplier integrations and purchase orders on Pro.

Gas safety records for plumbing and heating engineers

UK rule: landlords must have gas appliances checked every year by a Gas Safe registered engineer. The record must be kept for at least 2 years, given to existing tenants within 28 days, and given to new tenants before they move in. The check can be done up to 2 months early and keep the original due date. Digital records are allowed if they are printable, secure and identify the engineer (source: HSE).

If you are Gas Safe registered, your software should produce a landlord gas safety record (often called a CP12) on site, email it to the landlord, and remind you (or them) when next year's check is due. That reminder is how you turn one-off customers into repeat work.

Recurring boiler services

Annual boiler services are steady income. Look for recurring jobs and automatic service reminders. Tradify has recurring jobs from Pro and service reminders on Plus. Fergus includes recurring jobs on both plans. Powered Now sends automatic annual reminders for its certificates.

Our top picks for plumbers

Best overall for small plumbing firms (1 to 10 people)

Tradify

From £34 per user per month (gas records need Pro at £37)

Tradify does the whole job cycle well and has the gas paperwork UK plumbers need, including landlord gas safety records, warning notices and unvented hot water forms on the Pro plan. Every plan links to Xero, Sage and QuickBooks, and there is a UK office in London. Trustpilot shows 4.8 from 610 reviews (checked 12 Oct 2026).

  • Named UK gas and oil certificates from Pro
  • Progress invoicing and online quote acceptance from Pro
  • Month to month billing, 14-day free trial
  • Per-user pricing adds up as you hire
  • Inventory is basic; purchase orders are Plus only
  • AI features (bill capture, writing help) are on Plus only

Best for job costing and purchase orders

Fergus

From £39 a month list price (Pro £45)

Fergus was built around job costing. It tracks materials against each job, pulls in supplier invoices automatically on Pro, and adds purchase orders, so you can see whether that bathroom install actually made money. It has a UK office in Manchester. The catch: the Trustpilot sample is small (3.8 from 14 reviews, checked 12 Oct 2026) and a "90% off til December" offer is running with terms the page does not spell out.

  • Automatic supplier integrations and purchase orders (Pro)
  • Recurring jobs and timesheets on both plans
  • Fergus Pay includes direct debit and tap to pay
  • No Sage link found
  • Unclear whether the base price is per user
  • Phone support only on Pro

Best for certificates and Making Tax Digital on a budget

Powered Now

From £28 a month ex VAT (certificates need Professional at £32 per user)

Powered Now is UK-built and publishes the largest form count of the job management tools we compared, with nearly 100 trade forms and automatic annual reminders. It is also recognised by HMRC for Making Tax Digital (MTD) for VAT and Income Tax, so a sole trader can skip separate bookkeeping software. Its Trustpilot score is 4.7 from 564 reviews (checked 12 Oct 2026), though its App Store score is lower than Tradify's.

  • CP12, warning notices, commissioning and test and purge forms
  • Windows and Mac apps, works offline
  • Two months free if you pay yearly
  • Certificates are not on the cheapest Business plan
  • Lower App Store rating than Tradify or Fergus

Best value and best free plan

ServiceM8

Free for 30 jobs a month, then from £25 a month

ServiceM8 charges by jobs per month, not by person, and paid plans include unlimited users. A plumber with an apprentice and a modest job count pays far less than on a per-user tool. The weak spot for plumbers is paperwork: it makes generic PDF forms, and we found no named UK gas safety record, so gas engineers would need a certificate app alongside it.

  • Genuine free plan
  • Unlimited users on paid plans
  • Priced by jobs, not people
  • No named CP12 or EICR forms found
  • No Sage link
  • Costs climb fast with lots of small call-outs

Best for plumbing and heating firms with 6+ staff

Commusoft

Quote only (about £59 per user per month, per Capterra UK)

Commusoft is London-based, has been around since 2006 and focuses on plumbing and heating. It adds things small firms do not need but bigger ones do: drag-and-drop dispatch, service contracts, a customer portal, fleet tracking and multi-location stock. It says it is designed for businesses with 6 or more staff, and it uses a 12-month contract.

  • Built for heating and plumbing firms
  • Service contracts and planned maintenance
  • Sage 50 and FreeAgent links (per Capterra)
  • No published prices
  • 12-month contract
  • Too much for a sole trader

Visit Commusoft or see our heating engineer software guide

Gas Engineer Software (for certificates only)

If you are happy with your current way of quoting and invoicing and just want gas paperwork on your phone, Gas Engineer Software starts from £18 a month on annual billing (£19 monthly), ex VAT. It covers CP12, boiler service records and oil certificates. Gas Certificate App is a similar option at £20 per user per month ex VAT on its own site. Our gas certificate app comparison covers these in more depth.

What does plumbing software cost? Two worked examples

List prices only tell half the story. Here is what each tool would cost for two typical plumbing businesses, using the prices we checked on 12 October 2026.

Example 1: sole trader plumber, Gas Safe registered, about 45 jobs a month

Monthly cost for a sole trader who needs gas safety records. Prices checked 12 Oct 2026
OptionPlan neededMonthly costNotes
TradifyPro, 1 user£37Gas records included; VAT treatment not stated on the pricing page
Powered NowProfessional, 1 user£32 ex VAT (£320 a year ex VAT if paid annually)Gas records and MTD included
FergusEssentials£39 list priceCertificates stored with the job; supplier integrations and purchase orders need Pro (£45)
ServiceM8 plus Gas Engineer SoftwareStarter (50 jobs) plus GES Starter£25 plus £19 = £44 (GES ex VAT, monthly billing)Two apps to manage

Verdict for a sole trader: Powered Now is the lowest-cost route if MTD matters to you (it becomes compulsory from 6 April 2026 for self-employed people with qualifying income over £50,000). Tradify is £5 a month more and gives you the stronger all-round app plus a Sage link. Running ServiceM8 and a separate gas app costs more and means two logins.

Example 2: plumbing and heating firm with 5 people

Say the owner, three engineers and one office person, doing about 140 jobs a month.

Monthly cost for a 5-person plumbing firm. Prices checked 12 Oct 2026
OptionPlanMonthly costNotes
ServiceM8Growing (150 jobs, unlimited users)£59Cheapest by far, but no named gas records
Powered NowProfessional, 5 users£160 ex VAT5 × £32
TradifyPro, 5 users£1855 × £37. Plus (with purchase orders) would be £220
CommusoftQuote onlyAbout £295 ex VAT5 × about £59 per Capterra UK; built for 6+ staff; 12-month contract

Verdict for a 5-person team: if most work is gas and heating, Tradify or Powered Now are worth the extra over ServiceM8, because one missing certificate costs more in admin than £100 a month. If you rarely do gas work and run lots of people, ServiceM8 is hard to beat on price. Commusoft only makes sense once you reach about 6 staff and want service contracts and dispatch.

Which features matter most for plumbers (and which can you skip)?

Worth paying for

  • Named UK gas forms. A generic form builder is not the same as a ready-made CP12 with the right fields. If you do gas work, this is the first thing to check.
  • Service reminders. Automatic reminders for annual boiler services and landlord checks bring back work you have already earned.
  • Materials cost per job. If you spend more than a few hundred pounds a month at merchants, knowing the materials cost per job is worth more than any other feature.
  • Online payments on the doorstep. Tradify, Fergus, ServiceM8 and Powered Now all offer card or link payments.
  • Your accounting software link. Check it works with the package your accountant uses, especially if that is Sage.

Usually safe to skip

  • AI add-ons such as AI bill capture or writing helpers. Handy, but they are on higher plans and rarely change your margins.
  • Fleet tracking and dispatch boards if you have fewer than about 5 vans.
  • Customer portals for domestic work. Many homeowners are happy with a text and an emailed invoice.
  • Website add-ons. Tradify offers an Instant Website for £10 a month, but a proper site is usually a better investment.

What mistakes should plumbers avoid when switching software?

  1. Not checking the gas forms first. Open the trial and fill in a full landlord gas safety record before you commit. If a form is missing a field you need, you will find out on a Friday afternoon in a tenant's kitchen.
  2. Buying the cheapest plan, then finding certificates are not on it. Tradify Lite and Powered Now Business do not include certificates. Budget for Tradify Pro or Powered Now Professional.
  3. Forgetting your service history. Export your customer list, boiler details and next service dates from your old system before you cancel it. Otherwise you lose next year's reminders.
  4. Signing a long contract too early. Commusoft uses a 12-month contract. Tradify, Fergus and Powered Now let you pay month to month, so test properly first.
  5. Ignoring per-user maths. A per-user tool that is cheap for one person costs £185 a month at 5 people on Tradify Pro, or £220 on Plus. Work out next year's team size, not just today's.
  6. Trusting old price lists. Capterra UK still showed an older Tradify Pro price when we checked. Always check the vendor's own pricing page, or see our full guide to job management software for trades.

Our verdict

Most UK plumbers should start a Tradify trial on the Pro plan: it has the gas paperwork, the accounting links and a simple per-user price. Choose Fergus if merchant invoices and job profit are your biggest headache, Powered Now if you want MTD and certificates at the lowest price, and ServiceM8 if you have a big team and few gas jobs. Move to Commusoft when you pass about 6 staff.

Frequently asked questions

What is the best software for a plumber in the UK?

For a sole trader or small team, Tradify is our pick: £37 per user per month on the Pro plan gets you quotes, invoices, scheduling, recurring jobs and gas safety records, with Xero, Sage and QuickBooks links. Fergus is better if you buy a lot from merchants and want job costing and purchase orders. Larger heating firms should look at Commusoft.

Is there a free app for plumbers?

ServiceM8 has a free plan for 1 user and up to 30 jobs a month, which suits a part-time plumber. It does not include named UK gas safety records, so if you do gas work you will still need a certificate app such as Gas Engineer Software or Gas Certificate App, or a paid job management tool with certificates built in.

How much does plumbing software cost per month?

Based on the pricing pages we checked on 12 October 2026, most small-firm tools cost £25 to £45 a month for one person. Tradify is £34 to £44 per user, Powered Now is £28 to £40 per user ex VAT, Fergus lists £39 and £45, and ServiceM8 runs from free to £269 a month by job count.

Can plumbing software produce a CP12 gas safety record?

Some can. Tradify (Pro and above) and Powered Now (Professional and above) both list landlord gas safety records among their forms. Fergus says EICRs and gas safety certificates are stored with the job. ServiceM8 only offers generic PDF forms. Specialist apps like Gas Engineer Software and Gas Certificate App focus on gas forms.

How long must landlord gas safety records be kept?

HSE guidance says landlords must keep the record for at least 2 years, and give a copy to existing tenants within 28 days of the check and to new tenants before they move in. Digital records are allowed if they can be printed, are secure and identify the engineer, so app-based certificates are fine.

Does plumbing software work with Xero?

Yes, all the main options link to Xero: Tradify, ServiceM8, Fergus, Powered Now (Professional and above) and Commusoft. If you use Sage, Tradify and Commusoft list it, but we did not find a Sage link for ServiceM8 or Fergus.

Should a plumber use ServiceM8 or Tradify?

Tradify suits most plumbers better because it includes named UK gas certificates from the Pro plan and links to Sage as well as Xero and QuickBooks. ServiceM8 is better value if you have several people but a modest number of jobs, because paid plans include unlimited users and are priced by jobs per month.
