Best accounting software for tradesmen and builders (UK)
Quick answer
For most UK tradesmen and builders, Xero is the best accounting software: from £18 a month ex VAT, CIS calculations and MTD for Income Tax on every plan, and a link to every job app we checked. FreeAgent is the best value for sole traders, and free with a NatWest, RBS or Ulster Bank business account.
On this page
Your accounting software has two jobs: keep HMRC happy and save you evenings. For UK trades that means Making Tax Digital, the Construction Industry Scheme (CIS) for builders, and a clean link to the app you quote and invoice from. We compared Xero, QuickBooks, Sage and FreeAgent on their UK pricing pages on 12 October 2026.
Making Tax Digital for Income Tax: who must join and when?
Making Tax Digital (MTD) means keeping digital records and sending updates to HMRC through approved software, rather than one paper-style return a year. For VAT it already applies to VAT-registered businesses. For Income Tax it is being phased in for sole traders and landlords.
| Your qualifying income is over | Based on tax year | You must use MTD from |
|---|---|---|
| £50,000 | 2024 to 2025 | 6 April 2026 |
| £30,000 | 2025 to 2026 | 6 April 2027 |
| £20,000 | 2026 to 2027 | 6 April 2028 |
"Qualifying income" is your self-employment income plus any property income (GOV.UK explains exactly how to work it out). So a plumber with £55,000 of qualifying income is already in, and a sole trader with £32,000 has until April 2027. Some people can be exempt, for example if they cannot use digital tools.
Limited companies are not in MTD for Income Tax; they pay Corporation Tax. But a limited company that is VAT-registered must use MTD for VAT. GOV.UK has a software finder tool to check that a product is compatible before you buy.

Our picks
Best for most tradesmen and builders
Xero
From £18 a month ex VAT (Ignite)
Xero is the package every trade job app we checked can talk to, which makes it the safest choice if you might change job software later. CIS subcontractor calculations and MTD for Income Tax are on every plan. Contractors who need to file monthly CIS returns pay a £5 a month add-on.
- Links to Tradify, ServiceM8, Jobber, Fergus, Powered Now, Commusoft and more
- CIS and MTD on every plan
- Grow (£39) is the realistic plan for a busy VAT-registered firm
Best value for sole traders
FreeAgent
£19 a month ex VAT (sole trader), or free with an eligible bank account
If you bank with NatWest, RBS or Ulster Bank, FreeAgent costs nothing for as long as you keep the business account. Its sole trader plan includes MTD for Income Tax and VAT. Fewer job apps link to it: of those we checked, Commusoft (per Capterra) and Joblogic list FreeAgent.
- Potentially free
- Built for sole traders
- Few trade job apps link to it
- CIS support not checked
Lowest list price
QuickBooks
£10 (Sole Trader Plus) or £16 (Simple Start) a month, third-party figures
Intuit's page says CIS and MTD for Income Tax are included on every plan, from Sole Trader Plus up. Most job apps link to QuickBooks Online, though not all of them to the Sole Trader product, so check before you pair them.
- Low entry price; CIS on all plans
- Prices not confirmed on Intuit's own page
Best if your accountant uses Sage
Sage Accounting
From £20 a month plus VAT (Start); CIS needs Standard at £43
Sage is a UK name many accountants know well. Sage's pricing page describes Standard as the plan for businesses working with CIS, so do not expect it on Start. We could not see MTD for Income Tax on the Sage Accounting pricing page. Among trade job apps, Tradify links to Sage on every plan, and Commusoft and Joblogic list it too.
- Familiar to many UK accountants
- Fewer trade app links; CIS costs more
Which package fits your situation?
| You are | Our pick | Why |
|---|---|---|
| Sole trader under the VAT threshold, banking with NatWest, RBS or Ulster Bank | FreeAgent | Free while you keep the account; MTD for Income Tax on the sole trader plan |
| Sole trader using a job app such as Tradify, ServiceM8 or Fergus | Xero Ignite | Links to every job app we checked; MTD for Income Tax ready |
| CIS subcontractor (builder, roofer, plasterer) | Xero or QuickBooks | CIS subcontractor features on every plan |
| CIS contractor paying subbies | Xero plus the £5 CIS add-on, or Sage Standard | Monthly CIS returns built in |
| Limited company with an accountant who uses Sage | Sage Standard, with Tradify as the job app | Keeps your accountant happy without losing a job app link |
| VAT-registered team of 3 or more | Xero Grow | Full VAT returns and room to grow |
Two practical tips. First, ask your accountant which package they prefer before you choose, because switching later means moving your whole history. Second, every package above has a 90% or 50% intro offer, so look at the full price after month six when you compare, not the offer price.
What matters most for trades in an accounting package?
- A working link to your job app, so invoices, payments and customers flow across without retyping.
- Bank feeds, so card payments from site and bank transfers match against invoices.
- Receipt capture for materials bought at the merchant counter. Some job apps do this too: Tradify Plus has SmartRead AI bill capture and Powered Now Premium has an AI receipt scanner.
- CIS if you work in construction, on the right plan.
- MTD for VAT and Income Tax, confirmed with HMRC's software finder.
How does CIS work for builders?
The Construction Industry Scheme is HMRC's way of collecting tax from construction subcontractors up front. If you are a builder, roofer, plasterer, electrician or plumber working on construction jobs, it probably affects you.
- Contractors (anyone paying subcontractors for construction work) must register. Some businesses outside construction that spend heavily on construction work must register too; check GOV.UK's contractor guidance for the threshold.
- Subcontractors must register if they do construction work for a contractor.
- Deductions: contractors deduct 20% from registered subcontractors and 30% from unregistered ones. These count as advance payments towards the subcontractor's tax and National Insurance.
- Gross payment status lets a subcontractor be paid without deductions taken in advance.
- Monthly returns: contractors file by the 19th of the month after the tax month ends (for example, 6 May to 5 June is due by 19 June).
| How late | Penalty |
|---|---|
| 1 day | £100 |
| 2 months | £200 |
| 6 months | £300 or 5% of the CIS deductions, whichever is higher |
| 12 months | £300 or 5% of the CIS deductions, whichever is higher |
| Over 12 months | An extra penalty of up to £3,000 or 100% of the CIS deductions, whichever is higher, may apply |
What software helps with: working out the deduction on each subcontractor bill, producing payment and deduction statements, tracking deductions taken from you (so you can claim them back), and filing the monthly return. As a subcontractor, Xero, QuickBooks or Sage Standard will track the deductions taken from your payments. As a contractor, budget for Xero's £5 CIS add-on or a Sage Standard plan. Builders should also read our builders software guide for job costing and quoting.
Which job management apps sync with which accounts package?
This is the table most comparison sites skip. Pick your accounts package and your job app together, or you will end up typing invoices twice.
| Job app | Xero | QuickBooks | Sage | FreeAgent | MTD built in |
|---|---|---|---|---|---|
| Tradify | Yes (all plans) | Yes (all plans) | Yes (all plans) | Not found | Not found |
| ServiceM8 | Yes | Yes | Not listed | Not found | Not found |
| Jobber | One-way, Connect and Grow | Yes, Connect and up | Not found | Not found | Not found |
| Fergus | Yes | Yes | Not listed | Not listed | Not found |
| Powered Now | Yes (Professional+) | Yes (Professional+) | Not found | Not found | Yes, VAT and Income Tax |
| Commusoft | Yes | Not confirmed | Sage 50 (Capterra) | Yes (Capterra) | Not found |
| Joblogic | Yes | Yes | Yes | Yes | Not found |
| YourTradebase | Yes | Yes | Not listed | Not listed | Not found |
The pattern is clear: Xero and QuickBooks work with almost everything. Sage narrows your choice to Tradify, Commusoft or Joblogic among the apps we checked. FreeAgent narrows it further.
Best job app if your accountant uses Sage
Tradify
From £34 per user per month
Of the small-team job apps we checked (Tradify, ServiceM8, Jobber, Fergus, Powered Now and YourTradebase), only Tradify lists Xero, Sage and QuickBooks Online on every plan, so you do not have to change accountant or package to use it.
Do you need both a job app and accounting software?
You can manage with one app if you are a sole trader, you are not in CIS, and your main need is quotes, invoices and MTD. Powered Now is HMRC-recognised for MTD for VAT and Income Tax and includes quotes, invoices, expenses and supplier invoices, from £28 a month ex VAT. See our Powered Now review.
You need both if you employ staff (payroll), you are a CIS contractor, your accountant wants full bookkeeping, or you run a limited company with year-end accounts.
| Set-up | Monthly cost | Good for |
|---|---|---|
| Powered Now Business only | £28 ex VAT | Sole trader, no CIS, wants MTD in one app |
| FreeAgent only (with eligible bank) | £0 | Sole trader with simple books who banks with NatWest, RBS or Ulster Bank and needs no job app |
| Tradify Pro + Xero Ignite | £37 + £18 ex VAT = £55 | Sole electrician or gas engineer needing certificates |
| 3 users on Tradify Pro + Xero Grow | £111 + £39 ex VAT = £150 | Small VAT-registered team |
Our verdict
Choose Xero unless you have a strong reason not to: it links to every job app, and CIS and MTD for Income Tax are on every plan. Sole traders with a NatWest, RBS or Ulster Bank account should look hard at FreeAgent. If you want one app and no accountant-grade bookkeeping, Powered Now covers quotes, invoices and MTD on its own. Then pick a job app from our quote and invoice software guide.

Frequently asked questions
What is the best accounting software for builders in the UK?
Xero is our pick for most builders. Every Xero UK plan includes subcontractor CIS calculations and reports and is labelled MTD for Income Tax ready. Filing contractor CIS returns is a £5 a month add-on. It also links to every trade job app we checked, including Tradify, ServiceM8, Fergus and Powered Now.
Do sole traders need Making Tax Digital software?
Yes, if your qualifying income from self-employment and property is over £50,000 (based on 2024 to 2025) you must use MTD for Income Tax from 6 April 2026. The threshold falls to £30,000 from April 2027 and £20,000 from April 2028, according to GOV.UK.
Which accounting software is cheapest for a sole trader?
QuickBooks Sole Trader Plus is listed at £10 a month by third-party sources, but Intuit's own page did not show live prices when we checked. FreeAgent's sole trader plan is £19 a month ex VAT, or free with a NatWest, RBS or Ulster Bank business account. Xero Ignite is £18 ex VAT.
What are the CIS deduction rates?
GOV.UK says contractors deduct 20% from payments to registered subcontractors and 30% from unregistered ones. Subcontractors with gross payment status have no deductions taken in advance. Contractors must file monthly returns by the 19th of the following month, with a £100 penalty for a return one day late.
Do I need accounting software and a job management app?
Not always. If you work alone and only need quotes, invoices and MTD, Powered Now does all three in one app. Once you have staff, subcontractors under CIS or a VAT return with lots of purchases, most firms run a job app for the work and an accounting package for the books.
Does Tradify work with Sage?
Yes. Tradify's UK pricing page lists Xero, Sage and QuickBooks Online on every plan. ServiceM8 does not list Sage, and we did not find Sage on Fergus or Powered Now either. Commusoft and Joblogic list Sage too.
