Best software for small UK builders
Quick answer
For small UK builders, Fergus is the best software for job costing, with purchase orders and automatic supplier integrations on its £45 Pro plan. Tradify (£34 to £44 per user) is the better all-rounder with progress invoicing and subcontractor scheduling. YourTradebase, at £29 a month plus £15 per extra user ex VAT, is the simplest budget choice.
On this page
Most "construction software" lists are written for US home builders with project managers and big budgets. This one is for small UK building firms: one to ten people, multi-week jobs, subbies, merchant accounts and CIS. Prices were checked on 12 October 2026.
What does a small builder need from software?
A plumber's job might last two hours. Yours might last eight weeks. That changes what you need from software. Here are the jobs it has to do well.
Multi-week jobs with phases
An extension has groundworks, shell, first fix, plastering, second fix and snagging. You want to split a job into phases or stages, schedule each one, and see where every job is at a glance. Fergus includes job phases and tasks on its Pro plan. Tradify handles this through scheduling and progress invoicing.
Staged or progress invoicing
Cash flow is what sinks small builders. You need to bill a deposit, then stage payments as work hits milestones, then a final balance, all against one quote so nothing gets missed. Tradify includes progress invoicing from its Pro plan.
Variations
The customer wants bifold doors instead of French doors halfway through. If that change is not written down, priced and agreed, you either do it for free or have an argument at the final invoice. Good software lets you add a variation to the job, get it approved and bill it in the next stage.
Subcontractors
Most builders rely on subbies: electricians, plumbers, plasterers. Tradify includes subcontractor scheduling from its Pro plan. Fergus offers "contractor users" at £2 per user per day, which suits subbies who are only on site for a few days.
CIS deductions
UK rule: under the Construction Industry Scheme (CIS), contractors usually have to take deductions from payments to subcontractors and pass them to HMRC. The deductions count as advance payments towards the subcontractor's tax and National Insurance. Subcontractors who are not registered have deductions taken at a higher rate (source: gov.uk). None of the job management tools we compared named CIS on the pages we read, so most small builders handle CIS in their accounting software or through their accountant.
Purchase orders and job costing
On a big job, materials can be half the price. Purchase orders tell the merchant exactly what you ordered and let you check the invoice when it arrives. Job costing then compares your quote with what you actually spent on labour and materials. This is where small builders find out a job made far less than they priced in, usually too late. Fergus has purchase orders and automatic supplier integrations on Pro. Tradify has purchase orders on Plus. Powered Now includes supplier invoices and purchase orders on every plan.

What about ServiceM8 and Jobber?
Both appear on lots of "best software" lists, but neither is our pick for builders. ServiceM8 prices by jobs per month (free for 30 jobs, then £25 to £269 a month with unlimited users), which is great value for short call-outs but has no named purchase orders on its pricing page; job costing and supplier invoice import are add-ons. Jobber is an excellent product, but its UK pricing page showed US dollars when we checked, and its Xero sync is one-way. If most of your work is small repair jobs rather than builds, ServiceM8 is worth a look; our CRM for trades guide covers it alongside the rest.
What about Buildertrend?
Buildertrend often tops US lists. It offers unlimited users and projects on a custom quote, priced in US dollars by revenue band, and its payments feature is US-only. For a small UK builder, it is more than you need and harder to budget.
What does builders software cost? Two worked examples
Example 1: sole trader builder doing extensions and renovations
| Option | Plan | Monthly cost |
|---|---|---|
| Powered Now | Business, 1 user | £28 ex VAT (£280 a year if paid annually) |
| YourTradebase | 1 user | £29 ex VAT |
| Tradify | Pro (for progress invoicing) | £37 |
| Fergus | Essentials / Pro | £39 / £45 list price |
Worked example: you quote a £40,000 single-storey extension with a 10% deposit and four stage payments. With progress invoicing, that is six invoices raised from one quote, each one showing what has been paid and what is left. If software helps you bill each stage one week sooner, you have a stage payment in the bank a week earlier on every job. That alone pays for a £37 subscription many times over.
Example 2: building firm with 5 people (owner, office manager, three on site)
| Option | Plan | Monthly cost | Notes |
|---|---|---|---|
| YourTradebase | 5 users | £89 ex VAT | £29 plus 4 × £15 |
| Powered Now | Professional, 5 users | £160 ex VAT | 5 × £32; purchase orders included |
| Tradify | Pro, 5 users | £185 | Plus (purchase orders) is £220 |
| Fergus | Pro | From £45 list price | Per-user basis not stated; ask for a quote for 5 users. Subbies £2 per day |
Verdict: YourTradebase is the cheapest for a 5-person team. Fergus is the one to pick if you lose money on materials or overruns and want tight job costing. Tradify is best if you do a mix of big builds and smaller repair jobs and your accountant uses Sage.
Worked example: what job costing shows you
Here is a made-up but typical case. You quote a kitchen knock-through at £18,000, allowing £7,000 for materials and £6,000 for labour, leaving £5,000 for overheads and profit. Halfway through, the steel goes up in price, two extra days are needed for making good, and a skip is swapped twice. Without job costing you find out at the year end, when your accountant tells you the margin was thin. With materials costs and timesheets logged against the job, you see the overspend while you can still raise a variation with the customer. That is the main reason we rank Fergus first for builders: it tracks materials and timesheets against each job, and its Pro plan adds purchase orders and supplier integrations.
Taking payments
Big stage payments are usually bank transfers, but card and direct debit help with deposits and smaller jobs. Fergus Pay offers tap to pay, direct debit, Clearpay, card and Apple Pay, with card payments at 1.6% plus 20p. Tradify includes online and card payments on all plans. YourTradebase includes card payments. Powered Now offers payment links, plus SumUp for card payments on site.
Which features matter most for builders?
Worth paying for
- Progress invoicing for deposits and stage payments.
- Job costing that compares quoted against actual labour and materials.
- Purchase orders once you spend serious money at merchants.
- Subcontractor access so subbies can see their jobs without a full licence.
- Photos and notes on the job to back up variations and snagging.
- An accounting link that your accountant actually uses. Our accounting software for tradesmen guide compares Xero, QuickBooks and Sage.
Health and safety paperwork
Builders deal with more site risk than most trades, and clients may ask for risk assessments before work starts. Fergus Pro includes hazards and safe work method statements (SWMS, a written plan of how a risky task will be done safely), plus checklists and forms. Powered Now lists risk assessments among its trade forms on the Professional plan. Tradify offers custom-branded forms from Pro, which you can set up as your own site checklist. If you currently keep risk assessments in a ring binder in the van, any of these is an upgrade.
Usually safe to skip
- Full construction project management suites (Gantt charts, document control) unless you run several sites at once.
- Fleet tracking for two or three vans.
- A separate CRM. Lead tracking in YourTradebase or enquiry management in Fergus Pro is enough for most builders. See our CRM for trades guide if you get lots of leads.
- A separate quoting tool. Our quote and invoice software guide explains when one is worth it.
What mistakes should builders avoid when switching?
- Switching mid-job. Move new jobs onto the new system and finish live jobs on the old one. Moving a half-paid extension across is where invoices get lost.
- Not loading your price lists. Job costing is only as good as your material prices. Import merchant price lists before you quote.
- Buying a US construction suite. US dollar pricing and US-only payments make them awkward for UK firms.
- Assuming the software does CIS. Check with your accountant how CIS will be handled before you pay your first subbie through the new system.
- Paying for licences nobody uses. On per-user tools, labourers who only need to see the day's job may not need a full licence. Fergus charges contractor users by the day and timesheet users from £12 a month list price; YourTradebase adds users at £15 each. Count who really needs access.
- Ignoring MTD. MTD for Income Tax applies from 6 April 2026 if your qualifying income is over £50,000, from 6 April 2027 over £30,000 and from 6 April 2028 over £20,000. Make sure your setup can cope. Our full job management software guide covers this.
Our verdict
Small UK builders who care most about margins should start with Fergus Pro for its job costing and purchase orders. If you want the best all-rounder with progress invoicing, subbie scheduling and a Sage link, trial Tradify Pro. On a tight budget, YourTradebase does the essentials for £29 a month ex VAT. Skip US construction suites unless you run several large sites.
Frequently asked questions
What is the best software for a small building company?
For a small UK builder, we rate Fergus best for job costing because it tracks materials against each job, adds purchase orders and automatic supplier integrations on its Pro plan. Tradify is the better all-rounder for mixed work, with progress invoicing and subcontractor scheduling from £37 per user. YourTradebase is the simplest and cheapest for a one or two person firm.
Is there free construction software for builders?
Truly free options are limited. YourTradebase drops you to a free account with usage limits if you do not subscribe after its 30-day trial. ServiceM8 has a free plan for 30 jobs a month, but it is built around short jobs rather than multi-week builds. Most builders will be better served by a paid plan from about £29 a month.
Does builders software handle CIS?
We did not find CIS deductions named on the pricing or feature pages of Fergus, Tradify, YourTradebase or Powered Now. In practice, most small builders record CIS in their accounting software or leave it to their accountant. If you pay subcontractors under CIS, check with your accountant before relying on job software for it.
How much does software for builders cost per month?
From the pricing pages we checked on 12 October 2026: YourTradebase is £29 a month plus £15 per extra user (ex VAT), Powered Now is £28 to £40 per user ex VAT, Tradify is £34 to £44 per user, and Fergus lists £39 and £45 a month. Buildertrend is quote only, in US dollars.
Is Buildertrend available in the UK?
Buildertrend lists users in more than 100 countries and includes the UK on its demo form, but its pricing is a custom quote in US dollars and its payments feature is US-only. It suits larger home builders and remodellers more than a small UK building firm.
Can builders software do staged payments?
Yes. Tradify includes progress invoicing from its Pro plan, so you can bill a deposit, stage payments and a final balance against one quote. Check how each other tool handles stage payments during its free trial, because the pricing pages we read did not describe it in the same detail.
What software do builders use for quotes?
Small UK builders mostly quote from a job management app such as Tradify, Fergus, YourTradebase or Powered Now, rather than a separate quoting tool. All four create branded quotes that turn into jobs and invoices. Tradify adds online quote acceptance from Pro, and Fergus adds tiered pricing on Pro.
