Best landscaping and gardening business software (UK)

Quick answer

For UK garden maintenance rounds, Jobber is the strongest fit, though its UK page shows US dollar prices (Core from $29 a month billed annually). Design-and-build landscapers with staff should pick Tradify (£34 to £44 per user a month). Sole gardeners on a tight budget can start on ServiceM8's free plan, which covers 30 jobs a month.

Landscaping is two businesses in one: big one-off design-and-build jobs, and small recurring maintenance visits that have to run like clockwork from March to October. We compared the main UK options on both, based on published features, pricing pages checked on 12 October 2026 and user reviews.

What does a landscaping business need from software?

Most general trade software is built around one-off repair jobs. Landscapers and gardeners have a different week. Here is what matters, in order.

Recurring maintenance visits

A gardener with 40 regular customers might have 80 visits a month on a fortnightly cycle. You want the software to create those visits automatically, put them in a sensible order by area, and invoice them without you typing anything. This is the single biggest time saver, so check it first.

Design-and-build quotes with options

A patio quote often needs choices: Indian sandstone or porcelain, with or without lighting. Software that lets the customer tick the options they want, and accept online, wins more work than a flat PDF. Look for "optional line items" or "multi-option quotes".

Seasonal peaks

Spring is chaos and winter is quiet. Per-user pricing hurts if you take on two seasonal labourers for six months. Job-count pricing (ServiceM8) or plans you can scale down month to month help here.

Crews and materials

Hard landscaping means crews on site for days and materials like aggregate, sleepers and turf. You need multi-day jobs, crew scheduling and a way to add materials to a quote quickly (saved kits or price lists). Full stock control is rarely needed.

Getting paid for small, frequent visits

A £35 lawn cut is not worth chasing by phone. The best setups either take card payment on the spot or collect a fixed monthly amount by direct debit. Jobber Payments in the UK costs 1.4% plus 20p per card transaction, so a £35 visit costs about 69p to collect. GoCardless direct debit (used by round tools such as CleanerPlanner) costs 1% plus 20p per collection, capped at £4. On a £70 monthly maintenance fee that is 90p. Either beats a stack of unpaid paper invoices in the van.

Certificates barely matter for most landscapers. If you install garden lighting or outdoor sockets, the electrical certificate is the electrician's job, not yours. That is why tools that are weak on UK certificates (Jobber, ServiceM8) can still be the right choice here.

Which landscaping software should you pick?

Best for garden maintenance rounds

Jobber

From $29 a month billed annually (USD shown on the UK page)

Jobber is built for home service firms and lists landscaping, lawn care and tree care among its industries. Online booking and scheduling come on every plan, optional line items (customers pick their extras) arrive on Grow, and crew scheduling sits on Plus. It is US-centric, but for a maintenance business that never issues a certificate, that matters less than in other trades.

  • Online booking, quotes and online payments on the cheapest plan
  • Optional line items on Grow suit design-and-build quotes
  • Strong review base: Capterra UK 4.6 from 1,487 reviews, checked 12 Oct 2026
  • UK pricing page showed US dollars when we checked
  • Xero sync is one-way (Jobber to Xero)
  • No UK office or UK phone number found

Best for design-and-build landscapers with staff

Tradify

From £34 per user per month

Tradify is our best overall pick for small UK trade teams, and it suits landscapers who do more hard landscaping than mowing. Pro adds online quote acceptance, progress invoicing (useful for deposits on a big patio) and recurring jobs. You get UK pricing, a London office and Xero, Sage and QuickBooks on every plan.

  • Progress invoicing and online quote acceptance from Pro
  • Kit bundles and price list imports speed up materials on quotes
  • Trustpilot 4.8 from 610 reviews, checked 12 Oct 2026
  • Per-user pricing adds up when you hire seasonal staff
  • Recurring jobs need Pro, service reminders need Plus
  • No round-style route planning like dedicated round tools

Best value and best free plan

ServiceM8

Free for 30 jobs a month, then from £25 a month

ServiceM8 prices by jobs, not people, and paid plans include unlimited users. That makes it cheap for a crew doing a few big builds a month. It lists lawn care among its industries and offers recurring jobs as an add-on. Watch the cost if you run lots of small maintenance visits, because every visit eats into your job allowance.

  • Genuinely free plan for a part-time gardener
  • Unlimited users on paid plans, so seasonal staff cost nothing extra
  • Tap to Pay on site for one-off customers
  • High-volume, low-value rounds push you up the plans fast
  • Android lacks some features such as Room Scan and drawing diagrams
  • No Sage link

Best for Making Tax Digital on a budget

Powered Now

From £28 a month ex VAT

Powered Now is UK-built, lists landscaping as a trade, and is recognised by HMRC for MTD for VAT and Income Tax. Professional (£32 per user ex VAT) adds job routing and What3Words, handy for large rural gardens with no clear address. Its landscaper page shows lower prices (£15, £25 and £37) than its main pricing page, so we quote the main pricing page.

  • Windows and Mac apps for the office, works offline
  • Supplier invoices and purchase orders on every plan
  • Trustpilot 4.7 from 564 reviews, checked 12 Oct 2026
  • App Store score is lower: 4.1 from 243 ratings
  • Recurring visits not confirmed on the pages we checked

Best simple round tool for maintenance-only gardeners

CleanerPlanner

From £19 a month

CleanerPlanner is round management software that names garden maintenance as a fit. If you only cut lawns and tidy borders on a cycle, a round tool does that one job well. Pro (£29) adds GoCardless direct debit and SMS. It is not the tool for quoting a £15,000 garden build.

  • Built around repeating rounds
  • Direct debit through GoCardless on Pro
  • 30-day free trial
  • Weak for one-off design-and-build quotes
  • Accounting links not confirmed on the pages we checked

See CleanerPlanner pricing

Not on the list: Aspire, a landscaping platform, because its pricing page failed to load when we checked, so we could not confirm UK prices. YourTradebase (£29 a month plus £15 per extra user, ex VAT) also names landscapers as a target and is worth a look for small firms that mostly quote. For a wider view of quoting tools, see our guide to quote and invoice software.

Our verdict

Maintenance-heavy business: start with Jobber, or CleanerPlanner if you want the cheapest round tool and only cut grass. Build-heavy business with staff: Tradify. Tiny or part-time: ServiceM8's free plan until you outgrow 30 jobs. Accountant nagging you about MTD: Powered Now.

Which features matter most for landscapers (and which can you skip)?

Worth paying for

  • Recurring jobs with automatic invoicing. This is where gardeners lose hours each week.
  • Quotes with options and online acceptance. Let customers upgrade the patio themselves.
  • Progress or deposit invoicing. Big builds tie up cash in materials; take a deposit up front.
  • Before and after photos on the job. They settle disputes and fill your social media.
  • Direct debit or card payments. Small regular invoices are the ones that go unpaid.
  • Accounting sync. Pick a tool that talks to your accounting software. Tradify covers Xero, Sage and QuickBooks; Jobber covers QuickBooks and Xero (one-way).

Usually safe to skip

  • Certificates and compliance forms (unless you also do electrical work).
  • Full stock control. Saved price lists and kits are enough for most.
  • Fleet tracking and vehicle dashcams, until you have several vans.
  • AI writing tools. Nice, but they will not win you a single extra lawn.

What mistakes should you avoid when switching?

  1. Switching in spring. Move in November to February, when you have time to set up rounds and import customers.
  2. Ignoring how job limits count visits. On job-count pricing, 40 fortnightly customers can mean 80 jobs a month. Run your real numbers before choosing ServiceM8's tier.
  3. Forgetting currency. Jobber's UK page showed US dollars. Ask what you will actually be billed before you commit.
  4. Paying for seats you only need in summer. With per-user tools, check that you can remove users month to month. Tradify is month to month with no contract.
  5. Not testing on your crew's phones. If your team uses Android, check the features they need work there.
  6. Skipping the data import. Re-typing 100 customers is a weekend gone. Export a spreadsheet from your old system first.

Frequently asked questions

What is the best software for a landscaping business in the UK?

For recurring garden maintenance, Jobber is the best fit thanks to online booking, quote options and crew scheduling, but it is priced in US dollars on its UK page. For design-and-build firms that want UK pricing, Xero, Sage and QuickBooks links and a London office, Tradify is our pick at £34 to £44 per user a month.

Is there free software for gardeners and landscapers?

Yes. ServiceM8 has a free plan for one user and up to 30 jobs a month, which suits a part-time gardener. Most other tools offer a free trial instead: 14 days for Jobber, Tradify and Powered Now, and 30 days for CleanerPlanner. Free plans run out quickly once you pass about one job a working day.

Does Jobber work for UK landscapers?

Yes, it works in the UK and supports Xero (one-way, Jobber to Xero) and QuickBooks Online. Its UK card payments cost 1.4% plus 20p per transaction. The catch is that its UK pricing page showed US dollars when we checked on 12 October 2026, and we found no UK office or UK phone number.

Can I take direct debits for garden maintenance customers?

Yes. Round-based tools such as CleanerPlanner include GoCardless direct debit on the Pro plan (£29 a month). GoCardless charges 1% plus 20p per collection, capped at £4, with no monthly fee. Direct debit suits fixed monthly maintenance contracts, because you stop chasing small invoices every fortnight.

Do landscapers need Making Tax Digital software?

If you are self-employed, MTD for Income Tax applies from 6 April 2026 if your qualifying income was over £50,000, from 6 April 2027 if over £30,000, and from 6 April 2028 if over £20,000. Powered Now is recognised by HMRC for MTD. Other tools pass invoices to Xero, QuickBooks or Sage, which handle MTD for you.

How much does landscaping software cost per month?

Expect £19 to £44 a month for one person and roughly £50 to £220 a month for a five-person team, based on prices we checked on 12 October 2026. ServiceM8 charges by jobs, not users, so it gets cheaper per head as the team grows. Tradify and Powered Now charge per user.
